How to Conduct an Exit Interview

  1. Reach out to the employee and schedule the interview.

    Make sure they know the purpose of the interview and what to expect.

  2. Prepare for the interview ahead of time.

    Review the employee’s file, evaluations, and job description. Then, prepare your list of questions along with other necessary materials e.g. a notepad or recording device.

  3. Conduct the interview.

    It’s recommended to open the interview by thanking the employee for their time and explaining the purpose of the session. Use open-ended questions and ask follow-up questions to gain more insights.

  4. Ensure confidentiality.

    Assure the employee that whatever is shared will be kept confidential and that what they share will not affect their future job prospects. Instead, it will only be used to improve the organisation.

  5. End the interview by thanking them again.

    Offer to answer any questions they have too.

  6. Analyse the feedback.

    Review the notes you took down and try to identify areas of improvement. From this, you can craft an action plan to address issues.
